Captions should make a short video easier to understand, not give the viewer another thing to decode. They help people follow a clip when they cannot listen to the audio and make spoken content more accessible. A brief review before publishing can catch mistakes that an automatic transcript misses.
Check meaning before styling
Read the captions while listening to the original audio. Pay particular attention to names, numbers, abbreviations, and technical terms. A small transcription error can change the meaning of a sentence, especially when a speaker is describing a process or giving a specific example.
Use punctuation to make the speech easy to follow. Keep the speaker’s intended meaning and do not remove important qualifications just to make a line shorter. If the audio is genuinely unclear, check the source rather than guessing what was said.
Keep every line easy to read
Choose a clear typeface and enough contrast against the video. Preview the clip on a phone at a normal viewing size. Captions that look comfortable on a large editing monitor may feel crowded on a smaller screen.
Break lines at natural pauses so each caption reads as a complete thought.
Keep text clear of the speaker’s face and any important visual demonstration.
Leave room for platform buttons, descriptions, and other interface elements.
Match caption timing to the speech and allow enough time to read each line.
Use emphasis sparingly so the main idea remains easy to recognize.
Run a final playback check
Watch the exported video from start to finish, first with sound and then without it. Look for late captions, clipped words, awkward line breaks, and text that disappears against a changing background. Check the first frame as carefully as the rest of the clip because it sets the context for the viewer.
Finally, confirm that the description and caption text support the same message. Save a short review checklist with your publishing workflow so every post gets the same attention. Consistency is more useful than an elaborate style that takes too long to maintain.
